The Rotary Club of Kirkland held a club-wide rummage sale all-teams meeting on June 7, 2023 using the Zoom platform.
 
The meeting came to order at 6:40 p.m.
 
Attending* were Pete Anderson, Bob Auslander, Scott Becker, Rich Bergdahl, Gary Cohn, Terry Cole, David DeBois, Donald Dicks, Jocelyn Ellison, Doug Evanson, Monica Fratita, Margie Glenn, Jim Meniketti, Rick Ostrander, Joanne Primavera, , John Storbeck, Alice Volpe, Rick Walter.  *All attended via Zoom.

Committee Reports:
 
Dave DeBois began the meeting by setting the stage and describing the purpose, based on the email sent to members prior. The major issue we confront is the need for volunteers and how to manage them. In fact, this meeting is essentially about volunteers. Objectives of meeting:
  • Building of our volunteer army
  • Building a strong leadership team of volunteers
  • Coordinating our volunteer army
Currently we do not have a robust solution to manage volunteers going to the web site (this is an urgent call for help).  We need to nail down who is responsible for the volunteer signup and job/task placements. We need to use all our friend contacts, neighbors, and coworkers to gather as many volunteers as possible.  EACH of us is responsible to help build our army of volunteers.
 
Alice is working on an email that you can personalize and send out to the people you know.  They will be directed to the volunteer page of our Rummage Sale web site.

Reminder: Rotary Dues Due by June 30
Rotary dues statements were sent to all active members on June 1, 2023.  Payments are due by Friday, June 30, 2022. A reminder statement will be emailed on June 15 to all Rotarians with outstanding accounts.
 
As of June 10, one-third of the way through the month, 39% of club members have paid their dues. Nonpayment of dues jeopardizes membership in the Rotary club. Dues may be paid using the online Dues & Billing System link in the invoice emailed on June 1. The link is embedded in the bold words "Pay Now" in the invoice. Online payment requires a credit or debit card. Members may also pay by check through the U.S. Mail. If you need a duplicate invoice mailed, please send a request to Gary Cohn.

The Great Kirkland Rotary Rummage Sale is bound to attract potential members to the Rotary Club of Kirkland. To facilitate the membership application process, the club is now using the ClubRunner Membership Success module for membership applications, member referrals, and applicant tracking and processing.
 
Historically, Rotary membership applications were completed on paper, and processed through the club's secretary and membership chair. About four years ago, the club began using the District 5030 DACdb membership application, which was accessed by a link on the club's website. Now, club members may refer potential members through the club's website, and potential members may submit applications through the website.
 
As a club member, you may access the Membership Success referral form by clicking on the "Members" tab in the gold banner at the top of the club's website. Then, from the drop-down list that appears, select "Refer A Member", which is the first option on the drop-down list. Then a form appears and the club member fills in the information so the membership chair and committee may begin the application process if the potential candidate is willing.
 
People who want to begin the process of membership application may access an application form on the club's website home page by clicking on "Contact Us" in the gold banner, and then selecting "Join Rotary" from the drop-down menu that appears. Once a prospective member clicks on "Join Rotary" an application form appears and they enter the information required on the application. Whenever an application or a referral is submitted, the ClubRunner Membership Success module automatically thanks the submitter, and notifies the membership chair. Then the membership consideration sequence begins.

Bainbridge Rummage Sale Visuals!
Fellow Rotarians of the Bainbridge Island club have provided Kirkland a number of documents that provide tremendously helpful insight into the organization of the club's annual auction and rummage sale. Remembering that the Bainbridge club has been conducting this fundraiser for over 60 years and has very deep experience with the planning and execution, it is incredibly valuable to be able to create a picture in your mind's eye of how such an event appears and how it's managed.

There are four documents loaded into the ClubRunner organization documents area, and they are accessible using these links (your log-in is required). The orientation PowerPoint is broken into two documents because the original is too large to load to ClubRunner. Every club member will be better off having viewed these documents for a sense of how this club will need to conduct rummage sale business to be successful.
Please remember, though, this background information is all about Bainbridge's auction and rummage sale, and is intended to serve as a guide for Kirkland's efforts. The photos and maps are not images of Kirkland's school site, members, participants, or merchandise.
