The Rotary Club of Kirkland held a special meeting on July 24, 2023 at Brezza Condominium in order to analyze how the recent club's fundraising rummage sale went. President Gary Cohn greeted members at the meeting.
After pizza and drinks, President Gary called the meeting to order at about 6:30 p.m.
Attending were Pete Anderson, David Aubry, Gary Cohn, David DeBois, Doug Evanson, Jim Feek, Brandon Honcoop, Jim Meniketti, Kristin Olson, Joanne Primavera, John Pruitt, John Storbeck, Alice Volpe, and Rick Walter.
The club’s guests at this meeting were Peter Peaquin, a health law judge and new resident of Kirkland, who is looking to get involved in the community, and rummage sale volunteer Kathy Feek.
Rick Walter presented Dave DeBois with a “trophy” thanking him for his prodigious labors on our inaugural rummage sale. Dave also received a well-deserved round of applause from members. Mr. DeBois then thanked attendees for their efforts on the project. He believes the sale will grow year-over-year.
We discussed ideas for next year – we are trying to time the sale within 7-10 days after the end of classes in the LWSD. That would put it the weekend of July 4 – not good. And what if snow days push out the date of closure? We are debating between June 29 and July 13.
Everyone agreed that this year’s event was a good ‘experience’. We discussed the management of the site as to gathering items for sale, and the checking-out of customers with their purchases. There is concern about a small percentage of people who arrive with the intent to steal items. Discussed not allowing people to bring in bags and backpacks that they might use to conceal items.
We then broke out into groups to provide comments and suggestions for each of the five areas into which the effort was organized: operations, finance, technology and marketing, food, and volunteers. We rotated every few minutes to examine each area in turn with a new set of eyes, writing our comments (what worked well; what needs improving) on wall-mounted posters. After everyone had a chance to look at each area, we then provided a set of colored sticky dots to place on the written concerns that we felt deserved priority.
Rick Walter took the posters to his office to have the written comments transcribed along with notations as to how many dot were applied by the debrief meeting participants. Members can view Rummage Sale Debrief 2023 in the club website documents section. The meeting was adjourned at 7:30 p.m.
