The Rotary Club of Kirkland held a club-wide rummage sale all-teams meeting on June 21, 2023 using the Zoom platform.
 
The meeting came to order at 6:00 p.m.
 
Attending* were Pete Anderson, Bob Auslander, David DeBois, Doug Evanson, Rashmi Garimella, Margie Glenn, Jim Meniketti, Joanne Primavera, John Storbeck, Alice Volpe.  *All attended via Zoom.

Committee Reports:
 
Jim Meniketti:
 
Jim is setting up the credit card readers tomorrow. They are doing okay on the 30% people who responded for cashing and pricing. 
 
Dave asks how many cashiers do we have? Jim notes 6 people as CC cashiers. They all agreed to be there. Dan, and three other people will do a task for cashiering: Scott Becker, Bob Auslander, and Margie Glenn as cash tent volunteers. Bob and Margie volunteered for pricing, too.
 
Respond to Alice Volpe regarding your availability. 
 
Dave DeBois:
 
We have to have people manning the department on the day with bagging and cashiering; the sorting table to merchandising and pricing. Bob is good as a cashier, with Margie as department representative. Cashiers can rotate.
 
We also need a Point of Contact who signs off for volunteer hours at check-in and check-out.
 
We need a dedicated person during our operation time manning the volunteer tent.
 
We are getting closer to having the department sign completed by tomorrow. We have 3 posters will be ready soon.
 
Three banners will be hung at the gym. Welcome to the rummage sale with sponsors in the gym. 
 
We received district approval for 8:00 a.m. to be our start at the venue for the day, and at 6:00 a.m. on the day of the event. 
 
Please talk to all the friends, family business associates and spread the word out. 
 
Are we accepting cash donations? Yes, on top of the price customers are paying. We will be have tax forms available if they need to have a receipt for a donation.
 
Alice is asking Gary was talking about some liability form under 18, we need to explore. Gary knows much about it.

Doug Evanson:
 
Doug is asking for more volunteers. We are not getting the engagement we need. We are less than a week away from Monday, the 26th.
 
Doug does not have any contact info for the volunteers.
 
We have a couple of Rotarians that are going to go around and pick up goods. They need volunteers to go with them to pick up goods. We also need someone to help with coordination of pickups, another conundrum we need to fix.
 
Alice needs a list of pick up points and a list of items that they are donating. 
 
Pete will send out a refresher who needs things to be picked up with the best time 4 hours flexibility. 
 
Rick has people from Redmond. Bob and Margie will have the artwork moved after Wednesday after we moved tables in and after we finished the display board. 
 
Tables are coming on Wednesday morning.
 
Before Wednesday we will sort stuff on the floor. 
 
Jim asks about chairs, and if everyone brings a couple of chairs we may have enough. He recommends people bring chairs with their name tags on them to avoid their chairs getting lost or misplaced.
 
Pete will bring six chairs and three tables on Monday; an initial sorting table to help sort things.
 
We need a first aid box to be kept in a volunteer tent. 
 
If someone buys things and they want to buy more, there needs to be places where people can drop off their bags. Poker tickets to be used for this.
 
Pete Anderson:
 
Parking for members and volunteers is available at John Muir Elementary School. On the event day we need to park off the middle school campus in order to leave space for customers.
 
Volunteers will wear aprons and a cap. We got a few dozen Rotary caps.
 
Dave is taking the entire week off to coordinate our event.
 
Joanne asks are we allowing bargaining on goods? We do not permit bargaining until last hour. Last hours all items will be marked down to 50% off.  Goal is to put the price tag which seems reasonable already to ask for bargaining.
 
We need to create one Whatsapp group for the last week to communicate amongst ourselves.
