At 5:30 p.m. on February 15, 2024, President Gary called to order the special, virtual meeting of club membership. Pete Anderson led the discussion of rummage sale preparations.
In attendance: Pete Anderson, David Aubry, Scott Becker, Michelle Cazeau, Gary Cohn, Terry Cole, David DeBois, Sandy Ekins (Honorary), Jocelyn Ellison, Doug Evanson, James Feek, Kate Koslosky, Jim Meniketti, Rick Ostrander, Peter Peaquin, John Pruitt, John Storbeck, Pat Swenson, and Rick Walter.
Information: Rummage Sale Steering Committee chair Pete Anderson reported on the status of facility reservation, noting that the school staff indicated July 13 is reserved for the rummage sale, but Pete has not yet received the approved facility use form with fee calculation from the district office. He will follow up with district staff. [Ed. Note: The approved use form was received by the club on February 27, with an initial use charge of $3,622, to be amended as custodial availability and gym floor protection costs are solidified.]
Information: Pete reviewed the status of rummage sale teams and the team leader appointments. Four of the five teams have leads, the finance team lead is a Banner Bank staff member who is a volunteer but expected to become a member through a Banner Bank corporate membership application, and the volunteer team hasn’t a lead. Three attendees volunteered for additional teams.
Information: Pete announced that two more rummage sale all-teams meeting dates have been set, both beginning at 5:30 p.m. The March 21 gathering is another virtual meeting scheduled for the first 30 minutes of board meeting, like this meeting. Then, April 25 is an in-person meeting at Brezza Condominium. Priority items to be addressed include the marketing program, taking inventory at the storage facility, deciding on changes in donation acceptance times, deciding whether to accept furniture, lamps, and Christmas decorations (most of which landed in the dumpster last year), deciding whether to retain the preview session, and deciding whether and where to hold a volunteer appreciation picnic this year. Pete will assemble the operating team and the steering committee to make these decisions as soon as practical.
Information: Gary Cohn reviewed the draft yard sign, poster/flyer, volunteer poster, and information card, which are major items in the array of rummage sale marketing/promotional materials. He also reviewed the planned promotion channels and received feedback. Final approval of the design and details will await final decisions on the donation acceptance times and whether to retain the preview session
At 6:00 p.m. the special meeting was adjourned.
